CoachTime Privacy Policy

CoachTime is a coaching app from QB Stable. Coaches use it to run live film sessions with their athletes, save short clips of reps, take notes, and send session recaps. This page explains what information the app handles, why, and how to remove it.
The short version: we collect only what the app needs to work. No ads. No trackers. We never sell your data.
What we collect
Coach accounts. Your email address (you sign in with a one time code sent by email, no password) and the profile you set up: your name and the disciplines you coach.
Athlete information, entered by the coach. An athlete's name, plus optional details the coach chooses to add: position, age, school, goals, and parent contact info (parent name, phone, and email). Only the name is required.
Session data. Session titles, dates and times, film links, timestamped notes, clip markers, drill blocks, homework, practice scripts, plan templates, and recaps. All of it is created by the coach as part of coaching.
Video clips. During a live session, a coach can save a short clip of a rep. That clip is uploaded to private cloud storage and belongs to the coach's account. Clips are only reachable through expiring signed links, never public URLs.
Live calls. Live sessions use your camera and microphone. The audio and video stream between participants in real time and are not recorded or stored. The only video that is ever saved is a clip the coach deliberately captures. Your display name is shared with the other people on the call so they know who joined.
What we do not collect
- No advertising and no ad networks.
- No analytics or tracking tools from outside companies. We checked so you don't have to: the app ships with none.
- No location tracking and no access to your contacts.
- We never sell personal information, and we never share it for advertising.
How we use your information
To run the app. That means signing you in, showing a coach their own roster and sessions, running live calls, storing the clips and notes a coach saves, and delivering session recaps and homework to the right athlete. Nothing else. We do not use your information for advertising, profiling, or training AI models.
Who we share it with
Three service providers run the app's infrastructure. They process data on our behalf and only to provide the service:
- Supabase hosts the database, handles sign in, and stores saved video clips.
- LiveKit carries live video calls. Call audio and video pass through their servers during a call and are not stored there.
- Render hosts the small server that issues secure tokens so signed in users can join calls and view clips.
We do not share personal information with anyone else, unless the law requires it or you ask us to.
Kids and athletes
Many athletes on CoachTime are minors, so this part matters.
- Coaches create and control athlete profiles. Athletes never sign themselves up. An athlete joins only through a private link their coach shares.
- The coach decides what goes on an athlete's card. Only the name is required. Parent contact details are optional and are used so the coach can reach the family.
- Athletes see their own sessions, homework, and recaps. They cannot see any other athlete's information.
- Parents: you can review, change, or delete your child's information at any time. Ask your coach directly, or email us at [email protected] and we will take care of it.
- There are no ads and no tracking in the app, for kids or anyone else.
How long we keep it, and how to delete it
Your data stays until you delete it. There is no other retention clock.
- Coaches can delete individual athletes and sessions inside the app. Deleting an athlete permanently removes their profile, their sessions, and everything attached to those sessions, including notes and homework. Clips already saved to the coach's video library stay in that library until the coach deletes them or deletes the account.
- Coaches can delete their whole account from inside the app, on the Profile screen. That permanently removes the account and everything under it: athletes, sessions, notes, clips, homework, and recaps.
- Live call video is never stored, so there is nothing to delete unless a clip was saved.
- Parents can request deletion of their child's information through the coach, or by emailing [email protected].
Security
- Each coach's data is isolated at the database level. Row level security rules mean a coach can only ever read and write their own roster and sessions.
- Saved clips live in a private storage bucket and are served through short lived signed links that expire.
- Joining a call requires a token issued only to a signed in user. The app itself never holds server secrets.
- Data moves over encrypted connections (HTTPS).
No system is perfectly secure, but we keep the surface small: no ads, no trackers, no data brokers, and no data we don't need.
Changes to this policy
If we change this policy, we will update this page and the effective date at the top. If a change meaningfully affects how we handle your information, we will say so in the app.
